Creating an account for a learner

Also in Instructors

You do not have to wait for somebody to sign up. You can create their account and put them on a course in a single step.

Doing it

  1. On the course page, Manage → Enrollment.
  2. Instead of searching, enter their name and email address.
  3. Choose the role — Student unless they are helping to run the course.
  4. Add.

The account exists and they are enrolled. They sign in with that email address.

The check that matters

If the address already belongs to somebody, Grapevine tells you so by name and offers to add that person instead.

Take the offer. Making a second account on an address that already has one is the single most common cause of “my courses have disappeared” — the person signs in to whichever account they already knew about and finds nothing, while their new enrolment sits on the other one.

If the name shown is not who you expected, stop and look into it before adding anybody. Two people sharing a work address, or an old address reassigned to a new member of staff, both show up exactly like this.

Getting the address right

The address is their username, so a typo creates an account nobody can sign in to and an enrolment on a person who does not exist. There is no confirmation email to bounce and tell you.

If you are working from a list, consider importing it instead — the importer checks every row and tells you what it found before anything is written. See Importing enrolments from a spreadsheet.

Telling them

Grapevine does not currently email somebody to say an account has been made for them. So tell them yourself, and include:

  • The site address to sign in at.
  • The email address you used, which is their username.
  • That they should use Email me a link instead rather than hunting for a password they have never had.

What it costs

Creating the account costs nothing. The enrolment may be billable — see Adding someone to a course.
