Which site is billed for a course

Also in Resellers

When a learner is enrolled by hand, somebody is charged for it. On a single site that is obvious — the site is charged. Once courses are being resold, it needs a rule.

The rule

Billing follows the course, not the site it is sitting on.

A course that came from you stays yours for billing purposes. If your customer enrols twenty people on it, the charge comes to you — because it is your course being delivered, and your commercial relationship with them covers what they pay you.

A course your customer wrote themselves is theirs, and enrolments on it are billed to them.

Why that way round

The alternative — bill whichever site the enrolment happened on — means your customer gets a bill from Grapevine for using the training they already bought from you. They have no relationship with Grapevine, no contract, and no reason to expect it.

Making the course carry its own billing means each organisation is charged for what it is actually responsible for, and your customer deals only with you.

How Grapevine knows

A copied course records where it came from. That record is what the nightly billing reads, and it travels with the course when it is copied.

It is set once, when the course is copied, and it does not change if the customer edits the course afterwards.

What this means for you

  • Your customer’s enrolments on your courses appear on your bill. That is expected; price your arrangement with it in mind.
  • Watch imports on their site. If they import five hundred learners onto a course of yours, that is a $2,500 charge to you. Worth agreeing who does bulk enrolment, and telling them what it costs.
  • Courses they write themselves are not your problem, billing-wise.

Learners who pay for themselves

None of this applies. If a learner pays at checkout, that payment covers the enrolment and nobody is billed for it — whoever’s Stripe account took the money keeps it, minus the fee.
